Columbia University's ICAP Global Health Action in Tanzania, works in partnership with the Ministries of Health and Social Welfare (MOHSW) in mainland and Zanzibar. ICAP Tanzania has provided quality comprehensive family focused HIV Prevention, Care and Treatment services at 208 health facilities. The facilities involved include regional and district hospitals, health centres and dispensaries in Kagera, Kigoma, Mwanza and Zanzibar. This program is part of a broader US Government HIV/AIDS initiative in Tanzania and receives funding from Centres for Disease Control Tanzania (CDC), PEPFAR and the support of the American People.A key aspect of the program is to build the capacity of the MOHSW,at the national and sub-national levels, and indigenous CBO/ NGOs to manage HIV programs including financial, administrative, program

Operations Assistant

Position Summary:
The incumbent for this position shall do overall management of office management duties in general. S/he shall be responsible for organising meetings' requirements, logistics of travels and ticket booking. S/he shall also be responsible for ensuring internal & external communication and records are in order.
Specific duties:
Principal duties and responsibilities:
To coordinate travel ,logistics including accommodation arrangements, flight and road transport.
Dealing with correspondence, collect information, write reports, ensuring decisions made are communicated to the relevant people;
Taking notes during meeting and assisting during presentation and conference, producing documents and briefing papers.
With collaboration ofTraining Officer.Coordinate the organisation of meetings, trainings, seminars, and other events.
Organise all office maintenance and repair work.
Liaise with procurement to ensure materials and equipments ordered are delivered in a timely manner to the
appropriate sites.
Assist with the orientation of new staff with collaboration with HR team.
Assist the administration team as may be required.
When requested to perform front desk duties in the absence of Front Desk Officer.
Perform any other relevant duties as may be assigned to you by the supervisor.

Qualifications:
At least first degree in public administration, sociology, Human resource management or any other related field
Recommendable working experience from a reputable organization.
- Computer knowledgeable and a well demonstrated ability of managing internet communications
- An experience of working in a USG donor funded organization is a plus
Fluent in English
